Take the Drama Out of Group Trip Room Assignments
Planning a group trip is exciting… until it’s time to figure out who’s sleeping where. This planning tool helps take the guesswork out of it. You can add traveler details yourself, enter your room setup, choose the preferences that matter most, and get suggested room assignments with clear reasons for each match.
You can also create a private group intake link for travelers to fill out their own rooming details. This tool temporarily stores the information submitted by your group so you (the organizer) can review responses and create room assignments. Access is limited through unique private group links. (Please don’t submit sensitive personal information!) Once responses come in, you can review submissions, generate suggested room assignments, and receive a rooming report with matches, notes, warnings, and details to double-check before finalizing.
Roommate / Room Assignment Tool
Room assignments do not have to take over the group chat. Add your travelers, set the room details, and get a clear starting plan based on sleep habits, family links, privacy, beds, budget, and relationship rules.
A calmer way to sort out who sleeps where.
Would you prefer everyone to submit their own details?
Skip the form below and instead create a private group link, send it to your travelers, then generate a rooming report from their responses.
These settings are saved with the private group link and used when the organizer generates the report.
Trip + Room Setup
Start with your room count, bed count, and the kind of rooming plan you want.
Add Travelers
Add each traveler and choose the details that matter most for rooming compatibility.
Optional Relationship Notes
Don’t miss this: Use these when people should stay together, should not share a room, or need to be near each other.
This is also the best place to flag accessibility, mobility, medical, sensory, caregiver, chaperone, elevator, low-walking, or “needs to be near organizer” concerns.
Before finalizing anything, always double-check the room type, bed count, occupancy limits, accessibility needs, and privacy concerns directly with the hotel, resort, cruise line, rental host, or lodging provider.

Frequently Asked Questions
A few quick answers before you start sorting out rooms, roommates, budgets, and everyone’s very specific sleeping preferences.
Can I use this for girls’ trips?
Absolutely. Girls’ trips are actually one of the situations where this tool can be especially helpful.
You can factor in things like budget, sleep habits, bed preferences, privacy needs, personalities, and who would actually be comfortable sharing a room.
Because sometimes the group trip isn’t complicated until someone realizes she’s sharing a bed with the friend who goes to sleep at 9:30 p.m. while she plans to come back at 2 a.m.
Can I use it for family reunions?
Yes. The tool can work for family reunions, multigenerational trips, birthday trips, wedding groups, friend groups, and other trips where several people need to be divided among multiple rooms.
It’s especially useful when different travelers have different budgets, sleeping arrangements, privacy needs, or preferences about who they room with.
Does the tool save everyone’s information?
No. The current Room Assignment Tool is designed so the information you enter isn’t stored by OYHT.
That means you can use names, preferences, budgets, sleep habits, and other trip details to work through the room assignments without creating a saved profile of everyone in your group.
Once you’re finished, make sure you save or copy the final rooming plan somewhere you control if you want to keep it for later.
Can I account for different budgets?
Yes. Budget is one of the factors you can consider when working out room assignments.
That’s useful when one traveler is perfectly happy with the least expensive room while someone else really wants the bigger suite, better view, separate bed, or more privacy.
The goal isn’t to make everyone spend the same amount. It’s to help create room assignments that make sense for the people actually going on the trip.
